Conditions for Our Agent Booking

Services

These Booking Conditions, together with our Privacy Policy and any other written information we brought to your attention before confirming your booking, apply to your booking with Hythe & Seek Travel Ltd (“we”, “us” or “our”).

Please read these carefully as they set out our respective rights and obligations. References to “you” and “your” include the first named person on the booking and all persons on whose behalf a booking is made, or anyone else to whom a booking is added or transferred.

By making a booking, you confirm that:

  • You have read these terms and agree to be bound by them on behalf of everyone named on the booking

  • You consent to our use of information in accordance with our Privacy Policy

  • You are over 18 years of age and authorised to make the booking
     

1. Our Role as an Agent

We act only as an agent — usually for suppliers of travel services (tour operators, airlines, hotels, cruise lines, etc.) and sometimes as your agent for booking certain “no-frills” or low-cost flights.

  • Your contract will always be with the supplier(s) of the travel services booked

  • The supplier’s own terms and conditions will apply — we recommend you read them carefully

  • We are not responsible for the actual provision of the travel services, but we will assist you in liaising with suppliers if issues arise
     

2. Making a Booking & Payment

When you make your booking, you will be required to pay a deposit or full payment as specified at the time.

  • If you only pay a deposit, the balance must be received by the date on your confirmation invoice

  • If full payment is not received by the due date, the supplier may cancel your booking and charge cancellation fees

  • All monies you pay to us for arrangements will be held in our Travel Trust Association trust account until the supplier confirms the services have been provided, ensuring 100% financial protection

Please check that all names, dates and times are correct on your documents and notify us immediately of any errors. Names must match exactly with your passport.
 

3. Prices & Changes

Prices are based on information available at the time of booking. They may change before you have paid in full due to:

  • Exchange rate variations

  • Fuel surcharges

  • Taxes or fees from airlines, governments, or ports

We will notify you promptly of any change before final payment.
 

4. Cancellations & Amendments

If you wish to cancel or amend your booking, you must notify us in writing as soon as possible.

  • All changes and cancellations are subject to the supplier’s terms and may involve fees

  • Some bookings (e.g. certain flights) are non-refundable and non-changeable

  • Refunds, if available, will be processed in line with the supplier’s policies
     

5. Special Requests

If you have special requests (e.g. dietary requirements, room location, accessibility needs), please tell us at the time of booking. We will pass these on to the supplier, but we cannot guarantee they will be met.
 

6. Travel Insurance

Adequate travel insurance is a condition of booking. Your policy should cover:

  • Cancellation and curtailment

  • Medical expenses and repatriation

  • Loss of baggage and personal belongings

  • Supplier failure

We can assist in arranging travel insurance via third-party providers — please enquire when booking.
 

7. Travel Documents & Entry Requirements

You are responsible for ensuring you have:

  • A valid passport (usually valid for at least 6 months after return)

  • Required visas and health certificates

  • Any vaccinations needed for your destination

We are not liable if you are denied travel due to incomplete or incorrect documentation. For official guidance, check the UK Foreign, Commonwealth & Development Office at www.gov.uk/foreign-travel-advice.
 

8. Behaviour

Suppliers may terminate your travel arrangements without refund if your behaviour is deemed unacceptable or causes damage. You will be responsible for any resulting costs or claims.
 

9. Liability

We are not liable for the acts or omissions of suppliers, nor for events beyond our control (e.g. weather, strikes, political unrest, pandemics).
Our maximum liability, if found at fault, is limited to the commission we have earned on your booking.

 

10. Complaints

If you have a problem during your trip, notify the supplier immediately so they can attempt to resolve it. If the issue remains unresolved, contact us as soon as possible.

We will acknowledge your complaint promptly and aim to respond within a reasonable time. Disputes may be referred to the TTA’s dispute resolution scheme if we cannot resolve the matter.
 

11. ATOL Protection

Where your booking includes flights and qualifies for ATOL protection, we will issue you an ATOL Certificate through the supplier. This explains what is protected, who to contact if things go wrong, and your rights.
 

12. Website Usage Terms

By using our website, you agree to comply with our site terms, including:

  • Content is for general information only and may change without notice

  • We do not guarantee accuracy or suitability of information provided

  • Unauthorised use of the site may lead to claims for damages or criminal prosecution
